Is Your To-Do List Laughing at You?
5 steps to manage your time for less stress.
Is your to-do list laughing at you? Do you feel like there isn’t enough time in the day to do everything that needs doing? Maybe you’re always late or just plain burnt out and exhausted all the time. You might even be working with physical or mental limitations that limit your productive time.
I fall into that last bit.
I’m a little bit of a productivity geek but only because I need to make good use of my limited time, not because I want to add even more to my plate. I also tend to lose track of time, pushing my health boundaries too far before I realize what I’ve done. Make no mistake, time management is necessary for a balanced life.
I started this new year by tweaking how I approached time management and it’s already been immensely helpful as well as enlightening.
Here’s what I’ve been doing:
I’ve been creating a budget for my time instead of trying to figure out how to fit everything into my limited time.
1. Decide how many hours you want to allot for each week or day.
This is the biggest thing that helped me; deciding on the amount for your budget is the first step. It’s important to be flexible with the time you allot for each task but try to maintain the overall time as much as you can. I figured I have about 20 good hours a week. Of course, this can be a daily budget as well and can be adjusted as needed.
2. Prioritize your tasks.
This is super important! It’s all too easy to waste time on things that aren’t important or allow time to get away from you when working on a lengthy project. If you’re not sure how best to prioritize, this article about the Eisenhower Matrix from James Clear will be helpful.
3. Work out a budget for your time.
It doesn’t have to be perfect because you will make tweaks as necessary. It’s important to include things like administrative tasks that are easily overlooked, such as checking emails, filing, and digital cleanup. Even if a task is only 5 minutes, they still add up!
Here’s what my messy budget looks like right now:
4. Start tracking your time.
It may seem like this step should come in a little earlier, and it can, but I found it helpful to have some time restrictions already in place. I’ll bet you have at least one task that takes surprisingly longer than you thought! I’ll be tracking for the rest of the month then I’ll revisit my budget to see what needs adjustment.
Here’s the tool I use for tracking my time:
I’ve been using Toggl to track my time for freelance jobs for several years and highly recommend it! It comes in handy for automating tasks as well and the free tier has everything you need. Here’s my affiliate link if you want to check it out.
You may know I’ve got a thing for charts and prettying up my data. If you know this then you know I’ve got to share a screenshot lol!
5. Tweak as needed.
This is probably the most important part of any structure you try to build in your life – flexibility. You may tweak it to find the optimum recipe and update it on a somewhat regular basis because – just as life is known to do – our task lists and available time will ebb and flow.
Wrapping Up
There you have it! Budget your time and prioritize your tasks just like you would budget your money and prioritize your bills. I hope that you find this useful and wish you far more peace than stress!

What I’m reading
The LOOK of Amie Martine (The Amie Series Book 1), by Laurie Perez
I’ve only just cracked this one open but I have been dying to read these! Laurie is one of my favorite writers on Medium 🙂
“This cocoon you’ve been traveling in is meant to rip apart.
“Strangely euphoric.” “A book that you think about, long after you’ve read it!” “Unforgettable.” THE AMIE SERIES EMBRACES BIG QUESTIONS WITH EXPANSIVE SCOPE AND FOCUSED INTIMACY. IT BEGINS IN THE LOOK.
You have a body. A life forms around it. Consciously or obliviously, you experience yourself in structures held in place by myths your active presence here creates.
In the context of a room, a neighborhood, a city block, the spinning planet, a galaxy uncharted: you seem quite small and inconsequential in your fleshy vehicle.
This is the deception you’ve agreed to—a willful forgetting keeps you safely tucked into a pocket of existence your brain can functionally fathom.“
